Privacy notice
How the details you send through this website are used, kept and protected.
Who is responsible
Tok’s IT Consultant Limited (trading as Tok's IT Consultant), company number 10959867, registered office 33 Sandfield Road, Lenton, Nottingham NG7 1QR, is the controller of the personal data described here. Contact: toks.it.consultant@gmail.com.
What is collected
- What you type into the enquiry form: your name, email, phone number if given, company name, size and industry, the tools you use, your answers about the problem, timeline and budget.
- Your admin bill, only if you choose to include it: the estimates you entered on the home page. These are kept in your own browser for the current tab and are sent only if you submit the form with them included.
- Basic technical data: the website host records standard server logs, such as IP address and pages requested, to run and protect the site. The site is hosted by Cloudflare. The enquiry service counts submissions per visitor per day to stop spam, using a scrambled (hashed) form of your IP address that is never stored as the address itself.
What happens when you send an enquiry
To prepare for our first conversation, an automated process looks up your business and drafts a briefing for me:
- Your company name is checked on the Companies House public register.
- Your company name, and your company's web address if your email address shows it, are searched on the public web.
- Your answers about the business and the problem, with those search results, are used by an AI model to draft an internal briefing for me. Your name, email address and phone number are not sent for searching or to the AI model.
- The briefing and your details are saved to my Google Drive and my enquiries spreadsheet, and I get an email to say your enquiry has arrived.
The briefing is for my preparation only. No decision about you is made automatically: I read every enquiry and reply myself.
The site sets no cookies and uses no advertising trackers. It uses Cloudflare Web Analytics to count page visits and measure how fast pages load. It sets no cookies, does not identify you and does not follow you across other sites. Fonts and images are served from this site itself, not from third parties.
Why, and the lawful basis
Your details are used only to reply to your enquiry, arrange a call if you want one, and prepare a proposal. The lawful basis is legitimate interests in responding to a business enquiry, and taking steps at your request before entering into a contract.
Who else sees it
Nobody else, apart from the service providers needed to run the site and handle your enquiry. Your details are never sold or used for marketing lists.
- Modal Labs runs the enquiry service, in its UK region. It keeps a submission for up to 7 days in its systems.
- Anthropic provides the AI model that drafts the briefing. It receives company details and your answers, not your name or contact details, and its business terms do not allow training on this data.
- Tavily provides the web search. It receives only your company name and web address.
- Companies House, the UK public register, receives only your company name.
- Google stores the briefing and the enquiries spreadsheet in my business Google account.
- Resend delivers the notification email to me, which contains your details.
- Cloudflare hosts the website, protects it from attacks and provides the cookie-free visit statistics.
Cloudflare, Modal Labs, Anthropic, Tavily, Google and Resend are US companies, so your data may be transferred outside the UK. Where that happens I rely on the safeguards in each provider's data processing terms, such as the UK International Data Transfer Addendum or the UK-US data bridge where the provider is certified under it.
How long it is kept
Enquiries that do not lead to work are deleted after 12 months. If we work together, records are kept for as long as the law requires for business and tax purposes.
Your rights
You can ask for a copy of your data, have it corrected or deleted, object to or restrict how it is used, and ask for it to be transferred. Email toks.it.consultant@gmail.com. If you are unhappy with how your data has been handled, you can complain to the Information Commissioner's Office at ico.org.uk.
